Draft — this page hasn’t had a legal review yet. Parts marked “to be confirmed” are still open.

Who we are

FitFix Official is the personal training practice of Omid Ramez in North Vancouver, British Columbia. In this policy, “we” means FitFix Official. Legal business name: [To be confirmed].

This policy explains what personal information we collect, why we collect it and how we protect it. It follows British Columbia’s Personal Information Protection Act (PIPA) and, where it applies, Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect today

  • FitFix Lab waitlist: your email address, the language you signed up in, and the date and time you agreed to receive Lab emails.
  • Visiting this website: our hosting provider processes technical information, such as your IP address and browser type, to deliver the site and keep it secure. We don’t use advertising or analytics cookies.

When you book or buy a package

Sessions are booked through Calendly and packages are bought through TeamUp. When you use them, those services collect your name, contact details and payment, and your answers to the booking questions, which include your goals, your health and injury history, an emergency contact, your agreement to the client waiver and whether we may share photos or videos of you. They share this with Omid and handle it under their own privacy policies. We never see or store your full card number.

Photos and videos

We share photos or videos of you from your sessions on Instagram only if you said yes in the booking form. You can withdraw that consent at any time by emailing Ramez1976omid@gmail.com; we’ll remove the posts we control.

My FitFix member accounts

Omid’s clients can have a My FitFix account, by invitation only. If you have one, we store:

  • your email address, and when you last signed in;
  • the profile you fill in: your name, phone number, preferred language, date of birth, goals, an emergency contact and any health notes;
  • your profile photo, if you add one;
  • any health records you choose to attach, such as a doctor’s note or a medical clearance;
  • the session summaries written by you and by Omid.

Only you and Omid can see this information. We ask for your consent the first time you save your profile. Health records are optional: attach only what you want Omid to know.

Why we use it

  • To send the Lab emails you asked for.
  • To run this website and keep it secure.
  • When you book: to plan safe sessions, manage your package and contact you about your sessions.
  • For members: to plan and adjust your training and keep a record of your sessions.

We don’t sell or rent personal information, and we don’t share it for advertising.

Your consent

We collect, use and share your information only with your consent, or where the law allows it. You can withdraw your consent at any time: every Lab email has an unsubscribe link, or you can email us at [To be confirmed: privacy contact email]. Withdrawing consent may mean we can’t provide some services.

Where your information is stored

  • Our database and member files (profile photos and health records) are hosted by Supabase in its Canada (Central) region, in Montréal.
  • Member sign-in and invitation emails are sent through Google (Gmail).
  • This website is hosted by Vercel Inc. in the United States.
  • Bookings are handled by Calendly, and package purchases and payments by TeamUp. Both may store information outside Canada.

Information processed outside Canada is subject to the laws of that country and may be accessible to its courts and authorities.

How long we keep it

We keep waitlist emails until the Lab opens and for [To be confirmed: retention period] after that, or until you unsubscribe, whichever comes first. Health and training records: [To be confirmed: retention period]. If you ask us to close your My FitFix account, we delete it with your profile, photo, health records and session summaries.

How we protect it

Everything is sent over encrypted connections (HTTPS). Only Omid and the site administrator can access personal information, and database access rules stop the public side of the website from reading it.

Your rights

You can ask to see the personal information we hold about you and ask us to correct it; members can see and edit their profile in My FitFix at any time. We’ll respond within 30 days. If you’re not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner for British Columbia (oipc.bc.ca).
